A screenshot shows a state. A screen recording shows how you arrived there and what changed over time. Choose the format that answers the recipient’s question with the least ambiguity. Many reports need only one image and a clear sentence; a short recording becomes useful when the sequence itself explains the failure.
Match the evidence to the question
| Situation | Useful format | Why |
|---|---|---|
| A heading is clipped at a narrow width | Screenshot with viewport context | The mismatch is visible in one state |
| A menu closes before an option can be selected | Short recording | The action sequence explains the problem |
| A price needs approved replacement wording | Screenshot or pinned text comment | The decision concerns a specific visible value |
| The layout jumps while images load | Recording plus a final still | Timing and the resulting layout both matter |
| A form appears successful but sends nothing | Written steps and delivery evidence | Neither an image nor a clip proves backend delivery |
Start by writing the expected and actual result. If the recipient can understand the entire problem from that sentence and a still image, use the image. If they need to see a click, transition, delay, or disappearing state, plan a short clip. Do not record an entire browsing session merely because a recording feature is available.
The format does not replace the environment, release, and reproduction steps. A beautiful screenshot without a page location can be hard to investigate. A clear recording without the account state can be impossible to reproduce. Record those details alongside whichever attachment you choose.
Make a screenshot preserve location and meaning
Include enough surrounding content to show the affected page and component. If you crop tightly to highlight a detail, keep a second contextual view or a page-specific comment. Use arrows or labels sparingly, and avoid painting over the part the developer needs to inspect. Distinguish an annotated suggestion from the untouched observed result.
- Capture the state in which the issue occurs, including the open menu, selected option, or visible error.
- Include the viewport size and zoom when layout is involved.
- Explain the expected relationship or provide a clearly labeled approved reference.
- Use synthetic data where possible and inspect the image for private details before attaching it.
Website screenshot tools do not all capture the same thing. Some reconstruct a page from its rendered document; others use browser or operating-system capture. Embedded content, image loading, and rendering details can affect the result. Inspect the saved attachment and explain if it differs from what you saw. Missing content in the attachment may be a capture limitation rather than the reported website defect.
Annot8’s screenshot capture reconstructs the visible viewport and excludes its own widget. It has privacy redaction for designated sensitive content, but you should still review the result. Use another appropriate capture method if the attachment fails to represent the issue clearly.
Plan a short recording around one action
Prepare the starting state before recording. Open the relevant page, remove unrelated tabs or notifications from the capture surface, and use test data. Begin shortly before the triggering action, perform it at a readable pace, pause on the unexpected result, and stop. Describe what the recipient should watch for rather than narrating every control on the page.
Capture plan Question: Why does the selected filter disappear? Start: Results page with no filters selected. Action: Open Filters, choose an option, press Apply. Result to show: The label appears, then disappears after results load. Stop: Once the unfiltered state is visible. Written note: Expected the selected filter to remain active.
That is a fictional example of a capture plan. Adapt it to the failure rather than following a fixed duration rule. If several attempts are needed to reproduce an intermittent issue, state the attempt count and attach the clearest representative clip. Do not cut the clip in a way that hides the starting conditions.
Browser screen sharing uses a permission prompt where the person selects a capture surface. MDN documents that support varies and the feature requires a secure context; available audio behavior also depends on browser and selected surface. Check the saved clip instead of promising that every browser can capture the same audio or display.
Review what you are about to share
Choose the narrowest useful capture surface and close unrelated windows. A whole-screen recording can expose messages, bookmarks, notifications, and other applications. A tab recording can still reveal customer records, access tokens in URLs, or account details. Stop and review the file before it leaves your device.
Do not assume a redaction rule used for reconstructed screenshots applies to every recording path. Confirm how your tool captures and masks content. When in doubt, reproduce the problem with synthetic data. Share through the approved workspace and access settings, and keep confidential attachments out of public review links.
A written explanation also makes the report usable when someone cannot access or interpret the media. Name the relevant state and action, quote safe error text where useful, and state the outcome. If the report requires a long recording, add timestamps so the recipient can locate each important moment.
Use both formats only when each contributes something
A clip can show a layout jump, while a still identifies the final overlapping control. That pair is useful because the two attachments answer different questions. Two near-identical screenshots or a long clip of a static issue add review time without adding much evidence.
In Annot8, screenshots and pinned comments can support feedback on the Free plan; screen recording requires a paid plan. Guest reviewers do not consume paid team seats, with three distinct guest reviewers included on Free and unlimited guest reviewers on paid plans.
